{"id":772,"date":"2017-09-13T12:04:26","date_gmt":"2017-09-13T12:04:26","guid":{"rendered":"http:\/\/blogs.cooperhealth.org\/ctd\/?p=772"},"modified":"2017-09-13T12:04:26","modified_gmt":"2017-09-13T12:04:26","slug":"phone-conversion-summary","status":"publish","type":"post","link":"https:\/\/blogs.cooperhealth.org\/ctd\/2017\/09\/phone-conversion-summary\/","title":{"rendered":"PHONE CONVERSION SUMMARY"},"content":{"rendered":"<p><strong>**** IMPORTANT NOTICE ****<\/strong><\/p>\n<p>&nbsp;<\/p>\n<p>Colleagues \u2013 Recently, you were sent an email about the upcoming Phone Conversion.\u00a0\u00a0 This email included detailed information about the new mandatory phone number prefix dialing and also included a PPT that gives you background information about the phone conversion.<\/p>\n<p>The link to the ppt is <a href=\"https:\/\/360.articulate.com\/review\/content\/e671aa5d-d68e-44fc-900d-ab6ec2458326\/review\">https:\/\/360.articulate.com\/review\/content\/e671aa5d-d68e-44fc-900d-ab6ec2458326\/review<\/a><\/p>\n<p>If you review this ppt in its entirety, you will be well prepared for the phone conversion.<\/p>\n<p>As a backup, we <strong><u>strongly recommend<\/u><\/strong> that all providers download and install the following on your mobile devices:<\/p>\n<p>&nbsp;<\/p>\n<ol>\n<li><strong><u>Cortext Secure Texting<\/u><\/strong> \u2013 This will allow for secure communication via wifi or the cellular network<\/li>\n<li>To install, go to:\u00a0 <a href=\"https:\/\/start.cortext.com\/\">https:\/\/start.cortext.com\/<\/a> on your mobile device.\u00a0 Click Existing User, download and install the app.<\/li>\n<li>Your username is your <u>full<\/u> email address\u2026..ie:\u00a0 <a href=\"mailto:gandhi-snehal@cooperhealth.edu\">gandhi-snehal@cooperhealth.edu<\/a>.\u00a0 Password is your Cooper email password.<\/li>\n<li>Once logged in to Cortext, click on Directory and select the person that you want to send a secure message to.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<ol start=\"2\">\n<li><strong><u>Amion Mobile App<\/u><\/strong> \u2013 This application will allow you to access amion on your mobile phone via wifi or cellular.\u00a0 Instructions to download are located here:\u00a0 <a href=\"http:\/\/www.amion.com\/cgi-bin\/ocs?Page=Help:42\">http:\/\/www.amion.com\/cgi-bin\/ocs?Page=Help:42<\/a><\/li>\n<li>Password for Cooper is:\u00a0 cuhatt<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p><strong><u>A summary of the phone conversion changes is below<\/u><\/strong>:<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Effective September 15<sup>th<\/sup> \u2013 starting at 10pm:<\/strong><\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<p>The phone conversion process is slated to take several hours overnight starting September 15<sup>th<\/sup> \u2013 10pm.\u00a0 Until the phone conversion process is completed, you will need to follow the below steps temporarily:<\/p>\n<p>&nbsp;<\/p>\n<ol>\n<li>First, attempt to dial the extension in its current format without the prefix.\u00a0 In other words, dial the 4 digit or 5 digit extension without the prefix.\u00a0 If the call <strong><u>doesn\u2019t<\/u><\/strong> not go through, goto Step 2:<\/li>\n<li>Dial the extension utilizing the prefix code instructions below:<\/li>\n<\/ol>\n<p><strong><u>Prefix Dialing Instructions<\/u><\/strong>:<\/p>\n<p>&nbsp;<\/p>\n<p>Instead of just dialing the 4 digit or 5 digit extension, you will now have to utilize a prefix code + the 4 or 5 digit extension. In other words, you will now need to dial a total of 7 digits to reach an internal extension. Pager system (614) and other speed-dial codes (666, 655, 644) will remain the same.<\/p>\n<p>Example: Reaching Hospitalist MAH Cisco (x8747), Neurology Consults Cisco (x81620) and Medicine Consults via Pager (pager: 1960)<\/p>\n<p><strong>Prior to Sept 15<sup>th<\/sup> Phone Conversion:<\/strong> Dial 8747, 81620 and 614-1960 respectively.<\/p>\n<p><strong>After Sept 15<sup>th<\/sup> Phone Conversion:<\/strong> Dial 100-8747, 10-81620 and 614-1960 respectively.<\/p>\n<p><strong><u>Important caveats to remember<\/u><\/strong>:<\/p>\n<p>&nbsp;<\/p>\n<ol>\n<li>If the extension is 4 digits, your prefix code will need to be 3 digits.\u00a0 Eg:\u00a0 x8797 becomes x100-8797.\u00a0 Remember, the total number of digits must be equal to 7.<\/li>\n<li>If the extension is 5 digits, your prefix code will need to be 2 digits.\u00a0 Ex:\u00a0 x81620 becomes x10-81620.\u00a0 Remember the total number of digits must be equal to 7.<\/li>\n<li>If dialing an external number, you must dial 9,1,(xxx)xxx-xxxx.<\/li>\n<li>Please note that the phone conversion does not change the ability to directly dial a number from an external phone.\u00a0 In other words, not all Cooper phone extensions can be dialed directly from an external phone.<\/li>\n<li>Speed dial codes will continue to function.\u00a0 The speed dial codes are 614, 644, 655, 666.<\/li>\n<li>You can reach 911 by either dialing 911 or 9,911<\/li>\n<\/ol>\n<p><strong>Internal prefixes for Cooper buildings (sites)<\/strong> for <strong><u>4 digit extensions<\/u><\/strong>:<\/p>\n<p><strong>100<\/strong> &#8211; Hospital (One Cooper) and Sheridan Pavilion (Three Cooper)<br \/>\n<strong>101<\/strong> &#8211; Inpatient Rooms at One Cooper<br \/>\n<strong>102<\/strong> &#8211; MD Anderson Cooper (Two Cooper)<br \/>\n<strong>110<\/strong> &#8211; CCBO<br \/>\n<strong>120<\/strong> &#8211; Non Campus (Ambulatory locations)<\/p>\n<p><strong>Internal prefix for all 5 digits extensions will be 10.\u00a0 In other words, 10+xxxxx<\/strong><\/p>\n<p>A \u00a0Phone Extension Conversion Tool will be available on the Employee Portal to give you the ability to put in an old extension and display the new extension for all phones.<\/p>\n<p>A Phone Issue tracker tool will be available on the Employee Portal to submit issues online during the cutover.<\/p>\n<p><strong><u>An IT Command Center will be open from 9 p.m. on the night of September 15, 2017.
