Important Information – Upcoming Epic Upgrade – 11/12/17

Colleagues – On November 12th, we will be upgrading to Epic 2017.  There are several new enhancements in the 2017 version of Epic that will have a positive impact in the way we provide care to our patients.  Over the next couple of days, we will be sending more information highlighting important feature upgrades.  As with any go-live, the acute change-over period is generally the most stressful period as issues that were not identified during build and extensive testing come to light.  Our commitment to you is that identified issues will be rectified as quickly as possible.

In order to support the upgrade, the following are being implemented:

1.      A Command Center will be activated which will be staffed 24/7.  Details on specific contact information will be sent in the next couple of days.

2.      The Informatics Team will be available via Cortext Secure Texting.  If you haven’t already done so, please download the Imprivata Cortext Secure Texting App.  You can reach us by sending a secure message to Medical Informatics.  Look up Informatics or Medical Informatics in the Cortext Directory.  Instructions for Cortext are attached.

a.     To download Cortext, go to:  https://start.cortext.com/ on your mobile device.  Click Existing User, download and install the app.

b.      Your username is your full email address…..ie:  lastname-firstname@cooperhealth.edu.  Password is your cooper password.

Please remember to stay calm and please be patient with your peers and colleagues.  Additionally, it is important to not get angry or frustrated at those that are trying to navigate the new system and/or fix issues as they all have good intentions and are working towards the common goal of helping us and the institution succeed.

Below are some of the exciting changes that we believe will make Epic more intuitive and easier to use.  The upgrade to Epic 2017 will also give us the necessary foundation to implement additional enhancements over the next couple of months.

Ambulatory Specific Changes:

1.      Pre-Charting:  Get a jumpstart on the Charting!  With the upgrade, you will be able to prepare for a patient’s visit by pending orders, pulling in past historical information etc.  If your patient never arrives, your pre-chart will be automatically deleted.  We will be making available a tutorial video shortly.

2.      Note Attribution:  There is a new feature called “Hover for Attribution Information”.  This new feature will allow you to hover over text in the note to determine who the original author was for the text.

3.      Notes in Sidebar:  Notes will automatically open in a floating sidebar instead of opening within the activity or navigator.  This will allow you to view the chart, place orders, and document at the same time.

4.      Haiku / Canto (Smartphones and iPAD):  There are several enhancements to Haiku and Canto including the ability to view surgical cases.  Click here for instructions on how to install Haiku and/or Canto.

Inpatient Specific Changes:

1.      AVSThe AVS has been redesigned to improve readability for patients.

2.      Order Entry / Order Sets:  You will no longer have to switch between Order Entry and Order Sets.  You will be able to search for an Order Set via the Order Entry activity.

ASAP Specific Changes:

Communication regarding ASAP specific changes will be sent by Dr. Brian Freeze.

Beacon / Stork Specific Changes:

Communication regarding Beacon / Stork changes have been communicated to the relevant physician stakeholders for distribution.

Over the next several days, we will be sending more detailed information regarding some of the Must Use enhancements.  In the meantime, please take a look at the attached documents
